Summary

Responsible for various functions related to document control, document archiving, document imaging and maintenance of document register for Construction Projects and/or Detail Engineering Projects. Manages and oversees all projects related documents operated through Facility Management from initiation throughout completion.

Essential Responsibilities and Duties

1. Ensures the proper document files are created, numbered accordingly, and sorted for retrieval of electronically stored or hard copy documentation produced by technical teams, projects, or departments in a timely, accurate and efficient manner.

2. Receives and stores hard copies and electronic copies of all technical drawings, reports and related information in an orderly manner, in line with policies and procedures.

3. Allocates and controls document-numbering system for the project work.

4. Responds in a timely manner to requests to retrieve information, information searches and general requests for support from project/department personnel. Updates information as required.

5. Reviews completeness of documentation and prepares document transmittals.

6. Monitors of documentation progress in cooperation with the project manager/technical teams.

7. Performs file backup to ensure proper storage and archiving of electronic registers.

8. Prepares engineering project reports, as required.

9. Maintains and makes available master document sets.

10. Provides periodic reports on outstanding documents for both incoming and outgoing.

Education

Bachelor’s or Associate Degree/Diploma in Engineering/Administrative field or other related discipline is required.

Experience Required

One (1) year of related experience with Bachelor’s or three (3) years with Associate Degree/ Diploma is required.

Other Requirements(Certificates)

Ability to prepare reports and statistics.

Skilled in MS-Office.
