Records Management Section


Performs assistance on assigned medical records functions quickly and accurately, works in various shifts as assigned in order to meet the Hospital operational needs.

Essential Responsibilities and Duties

1. Assists in filing medical records in terminal digit order and loose sheet documents in correct patient’s record and volume.

2. Researches and locates lost/ missing records/ documents.

3. Prepares records for KFNCCC, Jeddah branch and controls delivery and return of records.

4. Assists in performing all related functions for retrieval and delivery for Protocol, Emergency and walk-in patients charts as requested.

5. Assists in retrieving scheduled patient charts by clinics, transfers and confirms the records using chart tracking system, delivers and collects records to/from the clinics and refiles them.

6. Cleans, audits filing areas terminal digits and keeps the area organized.

7. Provides customer-service to Research & Study chart reviews while retrieving records in a timely manner.

8. Assists in preparing records to be reviewed and abstracted by Tumor Registry Unit.

9. Answers telephone calls and takes necessary action, and assists in locating and retrieving records for administrative and patients care purposes.

10. Covers reception desk, greets customers, answers phone calls and takes clear and concise messages.

11. Assists in collecting discharged patients’ records from all inpatients wards and verify them against the discharged patients list.

12. Assigns stat reports to in- house Medical Transcriptionists, sends daily batches to outsource transcription service, and requests stat reports from outsource transcription service as directed.

13. Checks clearance for physicians, remove physicians with separation clearance from the system.

14. Uploads reports assigned for Arabic translation, and performs data entry for the Transcription Section as required.

15. Follows all Hospital related policies and procedures.

16. Participates in self and others education, training and development, as applicable.

17. Performs any other related duties as assigned


Bachelor’s or Associate Degree/Diploma in Hospital / Business Administration or other related discipline is required.

Experience Required

No experience required with Bachelor’s Degree (on-job training), or one (1) year of related patient services experience with Associate Degree/Diploma is required.
